This Refund & Cancellation Policy (“Policy”) explains how cancellations, modifications, no-shows, and refunds are handled for bookings made directly with Yao Base Camp through our website yaobasecamp.com and https://yao.tulyarthdigiweb.com/ (collectively, the “Website”).
By making a booking with us, you agree to be bound by this Policy, along with our Terms of Use and Privacy Policy.

This Policy applies to bookings made directly with us via:
Our Website, or
Direct communication by phone/WhatsApp/email (where this Policy is shared/accepted).
2. General Principles
All refunds, where applicable, are processed back to the original mode of payment used at the time of booking.
Any payment gateway, bank, or transaction charges are non-refundable, unless required otherwise by law.
All timelines in this Policy are calculated based on India Standard Time (IST) and the local check-in date of the booking.
This Policy does not apply to any future third-party bookings (e.g., OTAs) – in such cases, the refund rules of the respective platform will apply.
3. Standard Cancellation & Refund Slabs
The following slabs apply to standard refundable bookings made directly via our Website or directly with us:
All days are counted backwards from the scheduled check-in date.
3.1 Cancellations 7 Days or More Before Check-in
If you cancel 7 days or more before the scheduled check-in date:
Refund: 100% of the booking amount
Less: Any non-refundable payment gateway/bank charges, if applicable
Example:
If check-in is on 10th July, cancellations made on or before 3rd July (IST) will fall in this slab.
3.2 Cancellations 3 to 6 Days Before Check-in
If you cancel between 3 and 6 days (inclusive) before the scheduled check-in date:
Refund: 50% of the booking amount
Less: Any non-refundable payment gateway/bank charges, if applicable
Example:
If check-in is on 10th July, cancellations made between 4th July and 7th July (IST) will fall in this slab.
3.3 Cancellations Less Than 3 Days Before Check-in
If you cancel less than 3 days before the scheduled check-in date:
Refund: 0% (No refund)
Example:
If check-in is on 10th July, cancellations made on 8th July or later (IST) will fall in this slab.
3.4 Cancellations After Check-in
Once you have checked in, if you decide to shorten your stay or leave early:
Refund: 0% (No refund for unused nights)
The full booking amount for the confirmed stay remains payable.
4. No-Show Policy
A “no-show” is when a guest does not arrive at the property on the scheduled check-in date and time, and no prior cancellation or communication is received.
4.1 Our Process in Case of No-Show
If you do not arrive for check-in:
Our team will attempt to contact you on the registered mobile number and/or email to confirm whether you are arriving late or not coming.
If you confirm that you will not be coming, the booking will be marked as a no-show, and we may send you a confirmation email stating this.
If we are unable to reach you and there is no response within a reasonable time, your booking may still be treated as a no-show.
4.2 Refunds in Case of No-Show
In all no-show cases (with or without contact):
Refund: 0% (No refund)
The entire booking amount is non-refundable.
We also reserve the right to release the room and make it available for other bookings once a no-show is confirmed.
5. Booking Modifications (Date Changes)
We understand that plans can change, and we aim to be flexible within reasonable limits.
5.1 Date Change Policy
You may request a change of dates for your booking, subject to:
- Availability of rooms for the new dates, and
- Any difference in room rate applicable for the new dates.
If the requested dates are available:
We will modify the booking without charging any separate modification fee.
If the tariff for the new dates is higher, you will need to pay the difference.
If the tariff for the new dates is lower, the difference (if any) may be:
- Adjusted as per our internal policy; or
- Refunded/credited at our discretion, subject to bank/gateway constraints.
5.2 Cancellation of a Modified Booking
If you later cancel a modified booking, the cancellation slabs in Section 3 will apply based on the latest confirmed check-in date after modification.
6. How to Request a Cancellation or Modification
To cancel or modify a booking made directly with us, you can:
Log in to your account on our Website (if such self-service options are enabled); and/or
Contact us through any of the following:

When contacting us, please provide:
- Booking ID / reference number
- Full name used for the booking
- Check-in and check-out dates
- Contact number and email address
The effective cancellation time will be the time at which we receive your request (IST), not when you send it.
7. Refund Processing Timelines
Once a refund is approved as per this Policy:
We will initiate the refund to the original mode of payment (for online payments made via ICICI Bank payment gateway or its authorised partners).
Depending on your bank/card issuer/payment provider, refunds may take approximately 7–14 working days (or longer in some cases) to reflect in your account.
We are not responsible for any delay caused by:
- Banks, card networks, payment gateways, or
- Other factors beyond our reasonable control.
We will share a refund reference/transaction ID where available, which you may use to follow up with your bank/payment provider, if needed.
8. Non-Refundable or Special Rate Bookings (If Introduced)
From time to time, we may offer special promotions, discounted rates, or packages that are explicitly marked as:
“Non-refundable”
“Advance purchase – no cancellation”
Or similar terms
For such special-rate bookings:
No refunds will be applicable regardless of the cancellation date, unless required by law or explicitly stated in the promotion’s terms.
Please read the specific terms displayed at the time of booking carefully, as they may override the standard slabs in Section 3.
(If you are not currently offering non-refundable promotions, you can keep this section for future use, or remove it.)
9. Bookings Through Third Parties (Future)
Currently, Yao Base Camp is not listed on third-party booking platforms (such as Booking.com, Airbnb, MakeMyTrip, Goibibo, etc.).
If in future you book through any such third-party:
The cancellation and refund policy of that platform will apply to your booking.
Any refund must be processed through the same platform and under their rules.
We will not be able to override or modify third-party policies.
10. Force Majeure / Unforeseen Circumstances
In the event that your stay or our ability to host you is affected by events beyond our reasonable control, such as:
- Natural disasters, landslides, heavy rains, or road closures
- Government regulations, travel restrictions, or safety advisories
- Epidemics, pandemics, public health emergencies
- War, civil unrest, or other major disruptions
we will make reasonable efforts to:
Offer date changes or future stay credit, as feasible, and
Work with you in good faith to find a suitable solution.
Any refunds in such situations will be handled on a case-by-case basis, in line with applicable laws and our operational constraints.
11. Disputes & Governing Law
This Policy is governed by the laws of India.
Any disputes arising out of or related to this Policy, your booking, or your stay at Yao Base Camp shall be subject to the exclusive jurisdiction of the competent courts at Dehradun, Uttarakhand, India.
12. Changes to This Policy
We may revise or update this Refund & Cancellation Policy from time to time.
Any changes will be posted on this page with an updated “Last updated” date.
The Policy applicable to your booking will be the one in force at the time you made the booking, unless retrospectively required by law.
We encourage you to review this page before making a booking.
